What the report finds

Four things a practice did not know.

These are illustrative scenarios drawn from the analysis in our sample report. They are not real client engagements, and no figures from any real practice appear here. Where we do have clients, we do not publish their information — and we would not publish yours. Everything we receive is held in confidence under a written privacy and confidentiality agreement.

Case 1

Busy, growing, and quietly losing money

The practice was full. Billings were up. And it had made a loss two years running that nobody could explain. The doctors paid the practice 33.5% of what they billed. Running the practice actually cost 35.8%. The practice had been subsidising the doctors for two years without knowing it.

A doctor moved interstate. His room had been empty four months. It was on the list as a recruitment problem, behind more urgent things. Nobody had worked out what an empty room costs.

Eight months from a survey

Thirteen of the practice's 76 policies hadn't been reviewed in over two years. Accreditation was due within the year. Assessors don't just check that a policy exists — they ask staff whether it's actually happening. A policy last reviewed three years ago answers that question badly.

    Where one exists, it carries its source. Where it does not, the report prints “no comparison available”. A missing benchmark is more useful than a manufactured one.

That second part matters more than the first. Anyone can read a set of accounts. Genuine questions

You will have questions. That is reasonable.

No. We never request patient-identifiable information and none should ever be sent. Every report we ask for is aggregate or de-identified. If an export looks like it contains patient detail, do not send it — tell us and we will revise the request.

In Australia, on our systems, accessible only to the person preparing your report. It is not shared, not used to train anything, and not provided to any third party. You receive a written privacy and data handling statement before anything is sent.

No. We do not prepare accounts, lodge tax returns or tender for compliance work, and we say so in writing to your accountant. We ask them for information; we do not review their work. Many accountants ask for a copy of the finished report.

About ninety minutes of your time in the first quarter — one call, one meeting on the findings, one draft review. After that, one meeting a quarter. Your practice manager does the data: roughly a day the first time, twenty minutes thereafter.

It is recorded as not available, printed on the gaps page with what would be needed, and excluded from the score rather than estimated. If a measure genuinely does not apply to your practice, tell us and it stops counting against you.

It is a business report prepared by an accountant. Environmental measures are one of five areas and are reported in dollars — the electricity bill, the waste contract, the consumables. The forthcoming RACGP standards place more weight on environmental responsibility, and the report is built so the evidence is already there when you need it.

Not without our written consent, and that is in your interests as much as ours. The report is unaudited and prepared for internal use. If a third party needs something, that is a separate engagement and we will tell you what it would involve.

No. We prepare the report from your own records and tell you what they show. It is not an audit or a review, and no assurance is expressed. Every figure is traced to the document it came from, and those working papers are yours.
